Within the Supply Chain team in Lisbon, we are currently looking for an Administrative Assistant to provide high quality and proactive support to the Head of the Nespresso Supply Chain Service Centre based in Lisbon and to the Global Head of Supply Chain with his Leadership Team (based in Lausanne), both on administrative and organizational matters.


• Provide general administrative support for activities specific to the working area, to the team based in Lisbon as well as in Lausanne;
• Provide assistance upon request and proactively propose support;
• Organize specific meetings & when needed minutes taking;
• Organize travel arrangements including visa application and relative travel expenses registration and reporting;
• Organize the international and departmental meetings/events related to the Supply Chain team (SC Team Monthly Meeting, MORs, International SC Activity Meeting, Trainings, etc.) making sure all aspects are under control and run smoothly;
• Follow up on recurrent projects, tasks and/or reviews (monthly highlights, consolidation and publication of Supply Chain KPIs);
• Support and/or organize proper communication flows within the Departments and towards stakeholders;
• Manage and update the department´s communication tools (Intranet, team rooms, shared files, organizing conference calls, publish announcements, news, guidelines, etc.);
• Prepare and update presentations;
• Coordinate all the administrative processes in case of arrivals/departures of team members, including being the first contact for all orientation needs;
• Organize induction weeks for newcomers;
• Create, monitor and follow up of Purchase Orders. Monitor expenditures and follow up the administrative budget;
• Keeping all corporate data current, managing historical knowledge of Nespresso;
• Support NCE implementation, providing support in administrative tasks but also keeping alive NCE Corners.

Competências:

University Degree or equivalent (is a plus);
At least 3-5 years of professional experience within an international company, ideally in a similar position;
Good knowledge in computer skills (Word, Excel, Outlook, Power Point);
Methodical and well-organized individual, who knows how to work in a proactive and independent manner;
Motivated, curious and open minded;
Able to work under time pressure;
Able to work on confidential topics;
Strong orientation towards Service and results;
Fluent in English, French is a plus.
