Main Purpose of the RoleThe Facilities Specialist will be responsible to manage Portugal Office on the day to day delivery of high-quality Facilities Management services. The Facilities Specialist role will hold full accountability for the site operation, facilities cost management, service delivery and front facing services.
Also plays a strategic role on ensuring the continuous workplace improvements, anticipating office needs to respond to our internal customers.
Key Responsibilities
• Work as the focal point for all the office providers and landlord, including supervising, interact and co¬ordinate with contractors involved within the Facilities Management service delivery activities, ensuring that all work is carried out in a safe and timely manner;
• Management of budget spend and owning the analysis of variations and action planning, ensuring cost policy compliance;
• Manage all incoming invoices and raise purchase orders for materials, goods and services, ensuring Truphone procurement process compliance and costs accountability;
• Implement procedures to support regular site inspections to assess and review accommodation standards, document and report necessary corrective actions and to co¬ordinate appropriate actions and responses;
• Ensure and conduct building inspections timely, to maintain standards of maintenance throughout the building is in line with policies and local authorities' requirements;
• Ensure that all the office spaces such as meeting rooms, open spaces and lounges are maintained to a professional appearance throughout the day and continuously identifying improvement opportunities;
• Be an advocate for continuous improvement initiatives, cultivating a collaborative, friendly and fun work environment that fosters innovation and productivity;
• Proactively propose and assist with event set up to support Truphone engagement culture, being aware and curious of the new workplace trends;
• Welcome new employees and ensure the facilities onboarding.
Skills and Experience Required
• 2-3 years' experience in a similar role.
• Experience in the management of external suppliers and contractors covering a range of services (Mandatory).
• Basic knowledge of Health & Safety legislation and requirements.
• Understanding of corporate working environment
• Excellent communication skills, both verbal and written
• Able to demonstrate a professional and organised approach to the role
• Team player, flexible approach, common sense, responsive
• Fluent English is essential
